Event Planning for Executive Assistants: 7 Ways to Stay Sane When It’s All On You

Executive Assistants are the quiet powerhouses behind countless successful corporate events. Whether it’s a quarterly all staff meeting, a client breakfast, or the annual EOFY bash, the job of planning often lands squarely on your already-overflowing plate.

At Events Outsourced, we work with Executive Assistants every day, and we get it -event planning isn’t technically in your job description, but it still falls to you. Here are seven sanity-saving tips (plus a few tricks for getting approval to bring in outside help –yes, you deserve it!).

1. Start with a Plan – Even If It’s Messy

When it all hits your inbox at once, resist the urge to dive in straight away. Spend 30 minutes building a basic timeline and checklist. Break it down: venue, catering, guest list, AV, signage, registration… and leave room for the 10 extra things that will pop up later.

📝 Pro Tip: Use a shared project management tool (like Trello or Asana) so your manager can see what you’re juggling.

2. Lock in Dates and Venues Early

This is the domino that starts the whole chain reaction. Venues book out fast- especially if your event aligns with school holidays, end of quarter, or major local happenings. If there are any other key, non-negotiable suppliers (Keynote speaker, favourite photographer etc) we recommend locking them in early as well.

📍Need a hand choosing a venue? At Events Outsourced, we can recommend, negotiate, and lock it in for you – without you spending hours on the phone.

3. Communicate With Confidence

You’re the one everyone turns to, but that doesn’t mean you need to have all the answers straight away. Set boundaries by scheduling weekly event check-ins and batching queries instead of handling every “Just checking…” email in real time.

📣 Email Template Tip: “Thanks for your message – I’m consolidating event queries for a Thursday morning update. I’ll include this and circle back then.”

4. Delegate Smarter

You’re resourceful, but you’re not a one-person event agency. Tap into your internal network: could Facilities help with logistics? Could Marketing design the invites? Could Finance pre-approve a budget ceiling?

And when there’s no one left to delegate to… it might be time to look externally. (More on that below.)

5. Always Have a Plan B

The coffee machine breaks. The AV guy is late. The CEO’s keynote is missing. These things happen – even to seasoned planners. Stay sane by having backup options ready: spare lanyards, printed copies, a contact list of suppliers on speed dial.

📦 At Events Outsourced, we bring a full emergency kit and contingency mindset to every event.

6. Don’t Reinvent the Wheel

Find templates, re-use old floorplans, and create standardised run sheets. Bonus: every time you systemise a task, you make the next event easier.

💡 Ask us for free templates – we’re happy to share tools with busy EAs who need to streamline fast.

7. Know When to Bring in the Experts

Sometimes, getting help is the smartest decision you’ll make all year. But how do you get it approved?

How to Build the Business Case:

  • Highlight ROI: Share how your time could be better spent on high-level support or strategic admin tasks.
  • Use Numbers: External event planners often save money by avoiding last-minute costs or negotiating supplier deals.
  • Share Risk Management Benefits: Professional planners reduce the chance of things going wrong – and know exactly what to do if they do.
  • Position It As a One-Off Trial: “Let’s try outsourcing this event and evaluate afterwards” is an easier yes than a blanket request.
